About the position

The Executive/Administrative Assistant provides high-level administrative and organizational support to the GIC Head and Leadership team. Responsibilities include managing calendars, scheduling meetings, coordinating travel, preparing documents, and handling confidential information. The role also involves organizing meetings, managing expenses, coordinating office administration, and supporting event planning and special projects. The position requires a proactive, resourceful mindset and the ability to multitask in a fast-paced environment.

Responsibilities

Provides high-level administrative and organizational support to ensure smooth day-to-day operations

Manage calendars, schedule meetings, and coordinate across internal and external stakeholders

Arrange domestic and international travel, accommodation, and logistics

Prepare, format, and proofread documents, reports, presentations, and correspondence

Handle confidential information with discretion and professionalism

Organize and coordinate meetings, including agenda preparation, minute-taking, and follow-up on action items

Manage expense reports, invoices, and basic budget tracking

Serve as a point of contact between the executive/team and internal or external parties

Coordinate office administration tasks, including supplies, vendor management, and filing systems

Support event planning, such as team offsites, workshops, and conferences

Assist with special projects and ad hoc tasks as needed

Requirements

Bachelor's degree preferred, or equivalent experience

3-5 years of experience in an administrative, EA, or executive support role

Strong organizational skills with excellent attention to detail

Proficiency in MS Office / Google Workspace (calendar, docs, spreadsheets, presentations)

Excellent written and verbal communication skills; English proficiency important for international stakeholders

Ability to multitask, prioritize, and work independently in a fast-paced environment

High level of discretion and professionalism in handling sensitive information

Proactive, resourceful, and solutions-oriented mindset
