About the position

As a CBRE Receptionist, you will serve as the first point of contact for clients and visitors, providing essential administrative support to ensure a professional and welcoming environment. Your role involves managing the front desk, handling incoming communications, and coordinating various office services to maintain smooth daily operations. You will play a key part in the Workplace Experience function by delivering world-class customer service and ensuring that all guests receive a positive and efficient experience.

You will be responsible for a variety of tasks, including greeting visitors, managing phone calls, and directing inquiries to the appropriate personnel. Additionally, you will assist with meeting room preparations, including setup and catering coordination, and handle general clerical duties such as distributing mail and managing office supplies. Your ability to follow established procedures and maintain a high standard of organization will be crucial to the success of the office.

Responsibilities

  • Receive and direct incoming calls to appropriate personnel and voicemail
  • Greet clients, applicants, and visitors upon arrival, issuing visitor passes and parking validations
  • Schedule and prepare meeting and conference rooms, including setup, catering orders, and technological equipment
  • Perform general clerical duties such as distributing office faxes, packages, and ordering office supplies
  • Track incoming and outgoing packages, mail, and freight, arranging messenger services as needed
  • Arrange hospitality services for guests, including transportation, tickets, and reservations

Requirements

  • High School Diploma or GED with up to 2 years of job-related experience
  • Ability to follow basic work routines and standards
  • Strong communication skills to exchange straightforward information
  • Working knowledge of Microsoft Office products (Word, Excel, Outlook)
  • Strong organizational skills with an inquisitive mindset
  • Basic math skills for calculating simple figures such as percentages, discounts, and markups

Nice to have

  • Previous experience in a receptionist or administrative role
  • Proficiency in additional office software or scheduling tools
  • Strong interpersonal and customer service skills
  • Ability to multitask in a fast-paced environment
